Services and Itinerary Changes

Confirmation of Travel Plans

Clients may review travel details and terms of service through our company website, itinerary brochures, and related informational materials. We reserve the right to adjust travel details prior to itinerary confirmation and may notify you of the latest information via email or website announcements.

Force Majeure and Modifications

If the itinerary cannot be executed due to force majeure events such as natural disasters, wars, riots, strikes, or directives from government authorities, the Company will:

  • Cancel or adjust relevant itineraries and services.

  • Adjust dates, content, or other related matters based on actual circumstances and explain the reasons to the client.

  • Notify clients at the earliest opportunity in the event of emergency changes to ensure complete transparency.

Additional Services and Add-ons

If a client wishes to add extra services or experiences prior to or during the trip, they may contact us for assistance, and a separate quote will be provided based on availability and actual conditions.

02.
Tour Fees Payment and Booking Policy

Deposit and Final Payment
  • 30% Deposit: A 30% deposit of the total tour fee is required upon booking to secure itinerary planning and necessary service arrangements.

  • 70% Final Payment: The remaining 70% of the tour fee must be paid in full within 30 days prior to departure.

Deposit Policy and Non-Refundable Terms
  • The 30% deposit is strictly non-refundable, as these funds are used to pay for guides, transportation, accommodation, and other pre-arranged itinerary costs.

  • The deposit guarantees basic security for our travel industry partners (guides, drivers, hotels, etc.), as replacement bookings under identical conditions are usually difficult to secure after a cancellation.

Payment Methods
  • International Bank Transfer:
    • Deposit Payment: Pay a 30% deposit of the total tour fee, subject to an additional USD 60 handling fee.

    • Full Payment: Pay the full tour fee in a single transaction to waive the USD 60 handling fee.

  • Credit Card Payment:
    • Payments processed via PayPal will incur an additional handling fee of approximately 4% per transaction.

03.
Travel Price Adjustments

Adjustments to Tour Fees
  • If itinerary changes caused by natural disasters or force majeure affect travel costs, the Company will explain the adjustments to the client.

  • Fluctuations in airfares, transportation costs, airport taxes, and admission fees are determined by the respective authorities/suppliers and are beyond the Company’s control. Clients will be notified of any price adjustments as soon as possible.

  • If travel costs increase due to reasons attributable to the Company, we will notify the client at least 21 days prior to departure.

Additional Expenses

If itinerary adjustments are made at the client’s request, extra charges may apply and must be paid promptly to ensure smooth service delivery. Circumstances that may lead to fee adjustments include (but are not limited to):

  • Missed flights or delays due to personal reasons resulting in failure to meet at the scheduled time.

  • Additional expenses incurred due to personal health or legal issues.

  • Medical or related expenses arising from sudden illness or accidents during the trip.

04.
The Company’s Right to Cancel and Terminate

The trip may be canceled, or a client may be requested to leave the tour under the following circumstances:

  • The client is unable to continue traveling due to illness or personal reasons and requires special assistance.

  • The client violates Company regulations and disrupts the smooth operation of the group, such as:

    • Endangering the safety of others
    • Threatening or harassing guides and fellow travelers
    • Violating the team code of conduct
  • Transportation or accommodation arrangements cannot proceed normally due to force majeure events (e.g., natural disasters, wars, riots, strikes).

  • Directives from local government authorities prevent the Company from executing the original itinerary, requiring adjustments, postponements, or changes. The organizer will assist with necessary arrangements and explanations within feasible limits.

05.
Client’s Right to Cancel

Clients may cancel all or part of their travel arrangements at any time, subject to the following cancellation charges:

  • 30 days or more prior to departure: 30% of the total tour fee will be charged.

  • Within 29 days prior to departure: 100% of the total tour fee will be charged.

06.
Natural Environment and Wildlife Risk Notice

Please be aware before booking that this itinerary may enter unfenced national parks, nature reserves, or natural wildlife habitats. During the tour, you may approach wildlife within legal and safe distances or be within their natural activity ranges. Wildlife remains in a wild state; their behavior is unpredictable and inherently carries certain risks.

Movement Restrictions and Escort Guidelines

During the trip, travelers must strictly follow safety instructions and activity arrangements given by local guards, guides, or camp staff. Unaccompanied departures from designated activity areas or unapproved actions are strictly prohibited. Non-compliance may increase safety risks to yourself and others.

Principles for Interacting with Wildlife

Activities arranged during the trip may involve proximity to wildlife within camps or in natural environments. Travelers must adhere to the core principles of no provoking, no feeding, no disturbing, and no touching of wild animals, while remaining vigilant and respectful of the natural environment at all times.

07.
Liability Terms

  • If the Company fails to deliver services as described in the itinerary, the client may submit a complaint and claim for compensation.

  • The Company shall not be held liable for compensation for itinerary changes or cancellations caused by force majeure events (e.g., natural disasters, wars, strikes, government directives).

Compensation Claims
  • Claims must be submitted within 1 month after the end of the trip.

  • Local travel agents, guides, or cooperative agencies are not authorized to accept claims on behalf of the Company.

  • In cases involving unlawful acts, legal notices must be submitted to relevant Panamanian authorities within 3 years after the termination of the travel contract.

Limitation of Liability
  • Clients shall bear full responsibility for damages resulting from their own negligence or conduct; the Company assumes no liability.

  • Activities such as mountain climbing, trekking, and mountain biking involve inherent risks. Even under the guidance of professional guides, accidents may still occur. Clients must assess risks based on their own physical conditions and local professional advice, and take full responsibility for their personal safety.

Personal Property

Travelers are responsible for taking care of and properly safeguarding their personal property and valuables throughout the trip, and should follow safety recommendations provided by the organizers or local staff.

08.
Immigration and Health Management

Clients are fully responsible for managing their own passports, visas, customs compliance, health management, and entry requirements to ensure eligibility for travel.

This itinerary may involve regions with limited medical resources or higher risks of disease and infection. Travelers should evaluate their health conditions, consult medical professionals, and arrange appropriate insurance and preventive measures prior to departure. Any pre-existing medical conditions, allergy histories, or special health requirements should be communicated to the organizers in advance. Should local visa regulations change, the Company will notify clients as soon as possible.

09.
Overseas Insurance

  • Clients are strongly advised to purchase comprehensive travel insurance (including emergency medical treatment and evacuation coverage).

  • Additional expenses arising from flight changes or strikes (such as flight rebooking fees, extra accommodation, and additional transfer charges) shall be borne entirely by the client. The Company assumes no responsibility for these additional costs.

Please read carefully and confirm that you have fully understood these Terms & Conditions prior to booking.
